What an itemised statement of deposit deductions should show

A deposit settlement statement is also called an itemised statement of security deposit deductions, or a deposit return letter. Wherever the home is, one that leaves no room for argument shows how the refund was worked out:

  • The names of the landlord and the tenant, and the address of the home.
  • The dates the tenancy began and ended.
  • The amount of the deposit and when it was received.
  • Each deduction on its own line, with the reason and the amount.
  • The total deducted and the amount refunded, or still owed.
  • The date of the statement.

Keep the evidence for each deduction with your copy: photos from the move-in and move-out inspections, and the quotes, invoices or receipts for the work.

Send it on time

Many places set a deadline for returning a deposit or explaining what was kept, often between 10 days and two months after the tenancy ends. Missing it can cost a landlord the right to keep anything. The deposit deductions guide lists the deadlines in ten places.

Questions

Is a deduction allowed where I am?
That depends on the law where the home is. Our guide to security deposit deductions explains the usual rules, with the deadlines and limits in ten places.
Is what I type saved anywhere?
No. The statement is made in your browser and nothing is sent to us. Leaving the page clears it, so print or save it first.
What if the deductions are more than the deposit?
The statement then shows what the tenant still owes instead of a refund. Whether you can claim it, and how, depends on local law.
